Supplier Order Handover: Keep Quotes, Samples and Changes Aligned
Use an order handover checklist to carry the agreed brief, sample reference and unresolved actions from sourcing discussions into production planning.

The handover from sourcing discussions to production planning is where small version differences can become difficult problems. Bring the latest quotation, product brief, sample record and open questions into one handover pack. This checklist supports operational clarity; it is not a purchase contract or a replacement for professional advice.

Choose the current versions explicitly
List each document by title, version and date. Include the product brief, quantity breakdown, relevant drawings, quotation and sample approval record. Mark older files as superseded while retaining them for traceability. Avoid relying on whichever attachment appears last in a long message thread.
Ask the supplier to confirm the same list on its side. If the quotation refers to an older drawing or a sample uses different packaging, resolve the difference before treating the pack as ready. A filename such as 'final-final' does not explain what actually changed.
Separate agreed details from open actions
Record unresolved material choices, dimensions, packaging, scheduling assumptions and checks that have not been completed. Give each item an owner and identify the decision it prevents. Do not hide these issues in general meeting notes that the production contact may never read.
For example, if a label layout remains open, record who must supply the artwork and whether that affects packing or completion. This is an illustrative dependency, not a standard timing rule. The point is to make the consequence of the missing input visible.
Confirm communication and change handling
Name the buyer and supplier contacts responsible for product questions, scheduling and operational updates. Agree how a proposed change will be identified, reviewed and recorded. A casual suggestion should not become a production instruction without the relevant decision-maker recognising it.
For every change, preserve the original requirement, proposed replacement, reason, affected items and approval status. Ask about implications for samples, quantity, price and schedule. Keep the change attached to the handover pack rather than in a separate untraceable chat.
Read back the next milestone
End the handover by confirming the immediate next step, required inputs and responsible person. Identify any planned progress check and what evidence it should provide. Record a date only when the participants have actually agreed it.
Use the downloadable checklist to organise the conversation, then adapt it to the product and order. A complete-looking spreadsheet does not make an unclear agreement enforceable or ensure supplier performance. For contractual terms or specialist requirements, obtain appropriate professional support.

Suggested statuses are open, waiting for evidence and confirmed for the stated scope. Keep the evidence reference in your notes so that a later reviewer can check the basis for a decision.
