China Supplier Carton Marking: A Buyer Checklist
Before your China supplier seals the cartons, approve a label layout, a carton numbering system and a packing list that use the same product references. A photograph of a finished box is useful only when you can match it to an order, a SKU and the quantity inside. This checklist is for that coordination step; it does not replace your carrier’s shipping instructions or any required product labels.
Start with one shared packing record
A supplier may work from its own item number while your warehouse uses a different SKU. Put both in the record before discussing the artwork. Name the order and the version of the packing instructions. If a label changes after approval, give the revision a new identifier so the packing team does not print an older attachment.
Use one line for each carton or group of identically packed cartons. Keep mixed cartons separate: “ten cartons of accessories” does not tell the receiving team which box contains the replacement parts.

Review a worked example before the full print run
Suppose an illustrative order contains 120 units of SKU A and 30 units of SKU B. The agreed pack is 20 units of A per carton and 15 units of B per carton. The expected total is eight cartons: six containing A and two containing B. A label saying only “15 pieces” cannot identify which variant is inside.
Ask for the proposed artwork and a photograph of one labelled sample carton. Read the label at normal viewing size. Check its order reference, the carton number, the SKU and the quantity against your record. A clean digital artwork file alone does not show whether the printed label is readable or placed where the receiving team expects it.
Keep shipping labels and product claims separate
Your forwarder or receiving warehouse may require its own label, barcode or booking reference. Obtain those instructions from that party and send the exact files to the supplier. Do not assume a supplier’s usual export carton format fits your shipment.
Do not add a certification mark or a material claim merely because it appears on a previous supplier’s box. Product compliance and transport requirements depend on the goods and the route; verify them with the appropriate specialist. Check the final packing list against actual cartons
- Reconcile totals by SKU, not just the total number of pieces.
- Record any mixed carton and list its contents separately.
- Match carton numbers in photographs to the final packing list.
- Confirm measured outer dimensions and packed weights, distinguishing them from quotation estimates.
- Save the approved artwork, final packing list and dated evidence together.
If a carton is reopened or repacked, ask for the affected record and photograph to be updated. This is easier to resolve before collection than after a warehouse reports an unidentified box.
What to send your supplier
Please confirm the attached packing record and label revision before printing. Send a readable photo of one labelled carton, confirm quantities by SKU, and identify any mixed cartons. Please flag differences rather than substituting an item number or changing the pack quantity without approval.
Can a local visit replace the packing record?
No. A visit can help document what is physically present, but the buyer still needs a written reference for approval. Prepare the record before the visit so the person on site knows exactly what to photograph and compare.
