Canton Fair Buyer Packing Checklist: Documents & Meetings

A Canton Fair buyer packing checklist needs two parts: your admission documents and a compact sourcing brief you can use at every meeting. Keep the first available for registration and the second ready for product discussions. A bag full of brochures will not help if you cannot find the model reference or confirm which supplier promised the sample.

This guide covers what to prepare before leaving, what to carry on an exhibition day, and how to keep the resulting notes usable. It complements our buyer registration guide; it does not replace the fair's current admission instructions.

Match your packing plan to the correct phase

The official schedule for the 140th Canton Fair lists Phase 1 on 15–19 October 2026, Phase 2 on 23–27 October, and Phase 3 on 31 October–4 November. Check the official Canton Fair website for the current programme. Confirm the exhibition phase and booth with each supplier before planning a meeting.

Keep an admission document folder

Use one folder for the documents required for your own registration route. Check the official buyer instructions shortly before travel and again before collecting a badge. Requirements can depend on your circumstances; this checklist cannot establish your eligibility.

An invitation, submitted application or screenshot is a different record from an issued admission badge. Keep their labels clear. Review the buyer badge guide for context and resolve registration questions through the official fair channels.

Prepare a one-page supplier brief

Give each product discussion a stable reference. Include the intended product, specification revision, planned quantity range, destination market and the questions you need answered. If a requirement is still undecided, label it as open rather than presenting it as a fixed specification.

Bring an offline copy of the relevant drawing or photograph if you own it or have permission to share it. Number the files so that your notes can say “drawing B-02” rather than “the photo on my phone.” Avoid placing confidential designs in a general handout that you give to every booth.

Pack an exhibition-day kit you can actually carry

Keep the badge and essential documents accessible. Carry a charged phone, a charging cable, a small notebook and the supplier briefs for that day. Check your carrier's current rules before bringing a power bank on the journey. Choose a bag that leaves room for the few samples or catalogues you genuinely need.

Save appointments and meeting references offline. Before leaving the hotel, confirm that you can open the files without a network connection. Keep a written fallback contact and meeting point if you are attending with a colleague or interpreter.

Label sample and quotation notes before the next booth

After each meeting, write the supplier reference, booth, contact, product revision and any promised deliverable. Ask before photographing a sample or display. Keep each approved photograph associated with the correct supplier; two similar samples can become difficult to distinguish later.

Record what was stated and what remains unconfirmed. For example, “supplier will send carton dimensions” is an open action. It is not a verified dimension. Do not copy a verbal indication into a final specification without the supporting written detail you need.

Common packing questions

Should I print every product specification?

Print the pages you expect to discuss closely and keep other references offline. A short, clearly labelled brief is easier to update than a large pack containing conflicting revisions.

Does this checklist confirm my badge application?

No. Check your own application status and the current official collection instructions. Keep the issued badge, application reference and invitation separate in your records.
